Master the flow of your Estate Management System

Setting up your Property

Everything starts with a Property. Think of this as the "container" for your houses or apartments.

  • Navigate to Properties on the sidebar.
  • Click + Add Property to register your estate or building.
  • Pro-Tip: High-quality images help you identify properties faster on your dashboard.

Creating Units (Rooms/Houses)

Once a Property is created, you need to add individual Units to it.

Frictionless Flow: After saving a Unit, use the "Add Another Unit" button to quickly register multiple apartments without leaving the page.

Onboarding Tenants

Don't create tenants in isolation. Always link them to a home.

  • Go to a specific Unit Detail page.
  • If vacant, click Add Tenant. This automatically links the person to that specific room.
  • If a tenant already exists, their details will appear automatically below the unit info.

Leases, Invoices & Payments

This is where the automation happens.

Leases

A Lease connects a Tenant to a Unit with a Start/End date. Create this to start the billing cycle.

Invoices

The system generates invoices for dues like estate dues, charges or whatever applicable fee. Track "Paid" vs "Overdue", "Partially Paid" status in the Invoices tab. You can navigate to the sidebar to access Invoices page for more information.

Payment Evidence

On invoices generated, you can upload payment evidence for verification by navigating to the "Payment Evidence" tab on the sidebar and clicking "Upload Evidence". In the form a list of invoices will be in the drop down then you select the invoice to upload evidence for and upload the evidence file or photo of not more than 5mb.

Payments

You can navigate to the "Payments" tab on the sidebar to view and manage payment records. Once you payment evidence has been verified, the payment will be immediately reflected, such that you can view and print or download the payment receipt.

Visitor Management

Tenants can generate Visit Tokens (QR Codes) for their guests. You can monitor these under the "Visit Tokens" tab to see who is entering and exiting the estate.

Common Questions

Yes. Edit the Unit record. Note that this won't change existing active leases unless you update the lease itself.

This is where tenants upload bank transfer receipts. You must review and "Approve" these to mark an invoice as Paid.
